How to Merge Multiple Bank Statements into One Excel File
Combine monthly bank statements — CSV, Excel or PDF — into one spreadsheet or one PDF, without duplicate transactions from overlapping downloads.
Accountants, lenders and tax returns often want a whole year of transactions in one place, but banks hand them out a month at a time. This guide shows how to put several statements together — as one spreadsheet you can sort and total, or as one PDF to send — and how to avoid the duplicates that overlapping downloads create.
First, decide what you need
- A spreadsheet of transactions — to analyse spending, prepare a tax return, or import into QuickBooks or Xero. Start from CSV or Excel downloads if your bank offers them; they are exact.
- One PDF — when a mortgage lender, landlord or visa office asks for “the last six months of statements”. They usually want the bank’s original PDFs, joined, not a spreadsheet.
Merging CSV or Excel statements
Download each month (or one file per account) from online banking. Then:
- Open the Combine CSV and Excel files tool and add all the files. They are read in your browser, not uploaded.
- The tool finds each file’s heading row — skipping the account details many banks put at the top — and lines the columns up by name, so Date in one file meets date in another.
- Leave Remove the overlap between files selected. Rows repeated because two downloads cover the same days are removed; genuine repeats inside one file stay.
- Keep Sort rows by date ticked, check the preview and download Excel or CSV. The Excel file includes a Source file column, a sheet listing removed duplicates, and a summary of rows per file.
Doing it in Excel with Power Query
If you merge the same kind of files every month, Excel can do it too. Put all the CSV files in one folder, then choose Data → Get Data → From File → From Folder, pick the folder and choose Combine & Transform. Power Query stacks the files and keeps a Source.Name column. It works best when every file has exactly the same columns and no lines above the headings; if your bank adds account details at the top, remove them with Remove Top Rows in the query. Power Query won’t remove the overlap between downloads for you — use Remove Duplicates carefully, because it also deletes genuine repeated transactions.
Why merged statements end up with duplicates
The usual cause is overlapping date ranges. Download 1–31 January, then 15 January to 15 February, and the second half of January is in both files. Removing every repeated row fixes that, but also deletes two identical coffees bought on the same day. The safe rule is: keep each transaction as many times as it appears in any one file.

Merging PDF statements
To send several PDF statements as one file, use Merge PDF: add the statements, put them in date order with the arrows, and download one PDF. Pages are copied exactly as they are, so nothing is printed or re-scanned, and password-protected statements can be opened with their password.
If you need the numbers rather than one PDF, convert each statement with the PDF bank statement converter, download the results as CSV, and combine them as above. For only some pages, Split PDF extracts them first.
Check the result
- Row counts. The rows kept should equal the rows in all files minus the duplicates removed. The Summary sheet shows each number.
- Running balance. If your statements have a balance column, the balance on each row should equal the previous balance plus money in, minus money out. A break usually means a missing day or a duplicate.
- Opening and closing balance. The first opening balance and the last closing balance should match the first and last statements.
- Gaps. Sort by date and check there is no missing week between files.
Importing the merged file into accounting software
QuickBooks Online and Xero each have their own CSV layout. Once you have one clean file, convert it with Bank statement to QuickBooks or CSV to Xero. Large files may need splitting into smaller date ranges: QuickBooks Online has a size limit for uploaded bank files.
